Our referral coordinator is a professional who is compassionate, enjoys interacting and getting to know people, maintains a friendly and positive attitude, can multitask in a fast-paced working environment, and wants to serve patients/clients by addressing their needs to achieve their goals and live their best lives. The Referral Coordinator is responsible for obtaining the appropriate documentation, adding information into our EMR system and scheduling patients for the recommended services with the most appropriate provider.  

Duties & Responsibilities

  • Patient Intake: Enter new client information from referring physicians and call to schedule in a timely manner after receiving the referral.
  • Fax & Document Management: Scan faxes, sort them into their respective folders, and upload referrals into patient charts once they are created.
  • Provider Matching: Match patients with the best fit for their needs and schedule the appropriate number of follow-up appointments.
  • Paperwork Preparation: Prepare necessary paperwork for the next day’s initial evaluations to ensure a smooth check-in process at the front desk.
  • Medical Records Retrieval: Obtain any missing medical records from the patient’s referring physician to ensure the provider is able to treat the patient to the best of their ability.
  • Insurance Verification: Verify patient insurance coverage and benefits prior to scheduling, ensuring accuracy and communicating any necessary details to the patient.
  • Administrative Support: Perform general administrative tasks such as answering phones, checking voicemails, moving/rescheduling patient appointments, collecting patient/client payments, and keeping the documentation area tidy.
  • Obtain medical records from the patient’s referring physician to ensure the provider is able to treat the patient to the best of their ability
