The HR Assistant will support the Human Resources departments in maintaining smooth day-to-day operations through administrative and organizational tasks. This role is critical in ensuring the accuracy of HR records, assisting with employee support functions, and upholding the clinic’s standards of professionalism and efficiency.

Duties & Responsibilities:

  • Administrative Support & File Management
  • Organize and maintain digital and physical employee files.
  • Scan, upload, and correctly sort HR documents into appropriate folders.
  • Assist with document preparation and distribution for meetings, training, and staff communications.
  • Help update and maintain internal HR documents and templates.
  • Pulling reports for monthly payroll
  • Edit Employee Time clocks appropriately
  • Add employee credits to accounts for Birthdays and Hire-anniversaries
  • Research
  • Running Errands
  • Updating Provider schedules in EMR system
  • Scan in receipts
  • Job repair coordination
  • Assistant with projects as needed
  • Event & Engagement Support
  • Assist in preparing materials and setup for staff events, socials, and recognition programs.
  • Help gather and organize content for internal newsletters and employee announcements.
  • Update the whiteboard weekly
  • Apparel Inventory Management
  • Monitor inventory levels of staff apparel
  • Assist in distributing apparel to staff as needed.
  • Keep apparel inventory lists updated and organized.
  • Credentialing & Onboarding Assistance
  • Support credentialing tasks by tracking documentation and helping ensure files are complete.
  • Assist in preparing onboarding materials for new hires.
  • Help create system accounts and ensure new hire paperwork is processed in a timely manner.
